AI Providers And Models

Document.Bot can work with different AI setups. The right choice depends on your account, privacy requirements, budget, and quality needs.

Common Options​

Document.Bot Managed​

Document.Bot managed AI is the simplest setup when it is available for your account. The app uses your signed-in Document.Bot account and shows server-provided model options.

Managed model names, availability, and credit cost come from the Document.Bot service. The desktop app should not rely on hard-coded plan names or hidden provider keys.

ChatGPT Login​

ChatGPT Login lets you use your ChatGPT account with Document.Bot without entering an API key.

During sign-in, the browser approval screen may mention Codex because Document.Bot uses the same underlying sign-in flow.

API-Key Providers​

You can connect providers such as OpenAI, Anthropic, OpenRouter, EURouter, or other supported providers by entering your own API key.

Your provider API key is separate from your Document.Bot account. An API key does not replace account sign-in or subscription access.

Company Or Custom Providers​

Some teams use company-approved providers such as Azure OpenAI, Amazon Bedrock, Google Vertex, or a custom OpenAI-compatible endpoint.

Use these options when your organization requires a specific endpoint, region, contract, or data policy.

Local Or Offline Providers​

Local options can include Managed Offline, Ollama, or LM Studio depending on your build and computer.

Local models can improve privacy control, but they may be slower or less capable than online models. Large document tasks can take time on local hardware.

Selecting a local chat model controls the chat model path. It does not automatically change workspace indexing. If indexing is still hosted or online, Document.Bot may show a checkpoint before switching chat offline so you can keep online indexing or switch indexing offline too.

Choose Based On Your Data Policy​

Before using sensitive files, ask:

  • Is this provider approved for this data?
  • Will file content leave my computer?
  • Does indexing use a local or hosted model?
  • Does the selected model support the file and image inputs I need?
  • Are usage limits or credits available for this account?

If your build shows a top-bar Privacy badge, click it to check AI Chat and Workspace indexing separately. A local chat model plus hosted indexing is still an online data boundary for indexing.

If A Model Is Unavailable​

If a model is unavailable, missing, or out of quota, Document.Bot should show a recoverable message instead of a raw provider error. Try:

  • choosing another available model
  • checking Account settings for usage limits
  • connecting the required provider
  • downloading the required local model files
  • switching to a smaller workspace or offline indexing option

Advanced: Hosted AI And Quota​

When using managed hosted AI, Document.Bot may reserve usage before a message starts and finalize usage after completion, cancellation, or provider failure. This helps the service apply account limits consistently.

User cancellation after provider execution starts may still count as usage.
